We collect information from dental practices that use our platform, including practice name, address, contact details, provider information, and Practice Management System (PMS) data necessary to deliver our services.
On behalf of dental practices, we process Protected Health Information including patient names, contact information (phone numbers, email addresses), appointment data, treatment plans, insurance information, and billing records. This data is collected from the practice's PMS and is processed solely to provide our services.
When patients receive SMS or email communications through our platform, we collect delivery status, read receipts, and patient responses (such as appointment confirmations or opt-out requests).
When you visit uishealth.com, we may collect standard web analytics data including IP address, browser type, pages visited, and referring URL. This data is used to improve our website and is not linked to patient health information.
We use the information we collect to:
Provide dental practice analytics, intelligence dashboards, and reporting. Deliver automated patient communications including appointment reminders, recall notifications, waitlist alerts, treatment follow-ups, post-operative check-ins, balance reminders, and birthday greetings. Synchronize data between Practice Management Systems and our platform. Generate AI-powered insights and recommendations through our Dentamind AI system. Process insurance claims tracking and verification. Deliver patient education content. Improve and maintain our platform and services.
UIS Health operates as a Business Associate under HIPAA. We maintain comprehensive administrative, physical, and technical safeguards to protect PHI, including:
AES-256 encryption for all data at rest. TLS 1.2+ encryption for all data in transit. Role-based access controls. Multi-factor authentication. Regular security assessments and vulnerability scanning. Automated audit logging of all PHI access. Secure cloud infrastructure on Microsoft Azure with HIPAA-compliant configurations.
We execute Business Associate Agreements (BAAs) with all dental practice clients before processing any PHI. We also maintain BAAs with our subprocessors including Microsoft Azure and Azure Communication Services.
Our platform sends SMS messages to patients on behalf of dental practices. Important details about SMS communications:
Consent: Patients must provide consent to receive SMS messages. Consent is collected by the dental practice during patient registration.
Message Types: Appointment reminders, recall/hygiene reminders, waitlist notifications, treatment follow-ups, post-operative check-ins, balance reminders, and birthday greetings.
Opt-Out: Patients can opt out of SMS communications at any time by replying STOP to any message. To re-subscribe, patients can reply START.
Message Frequency: Message frequency varies based on the patient's care schedule and practice communications. Standard message and data rates may apply.
No Marketing Spam: We do not send unsolicited marketing messages. All SMS communications are related to the patient's dental care and practice relationship.
We send email communications to patients on behalf of dental practices for appointment-related notifications, treatment information, billing notices, and practice communications. Patients can opt out of email communications by clicking the unsubscribe link in any email or by contacting the dental practice directly.
We do not sell, rent, or trade patient information. We share information only in the following circumstances:
With Service Providers: We use Microsoft Azure for cloud infrastructure and Azure Communication Services for SMS and email delivery. These providers are bound by BAAs and contractual obligations to protect PHI.
With the Dental Practice: All patient data and communication results are shared with the dental practice that is the HIPAA-covered entity.
As Required by Law: We may disclose information when required by law, regulation, court order, or governmental request.
For Security: We may disclose information to protect the rights, safety, or property of UIS Health, our clients, or the public.
We retain patient data for the duration of our service agreement with the dental practice. Upon termination of services, we will return or destroy all PHI as directed by the practice, in accordance with our BAA. We may retain de-identified, aggregated data for analytics and platform improvement purposes.
We implement industry-standard security measures to protect your information. Our infrastructure is hosted on Microsoft Azure with HIPAA-compliant configurations. We conduct regular security assessments, maintain encrypted backups, and follow the principle of minimum necessary access for all PHI.
Patients have the right to access their PHI, request amendments, obtain an accounting of disclosures, and request restrictions on certain uses. These requests should be directed to the dental practice (the HIPAA-covered entity), which will coordinate with us to fulfill them.

Our platform processes information about minor patients only as directed by the dental practice and their parent or legal guardian. We do not knowingly collect personal information from children under 13 without parental consent obtained through the dental practice.
We may update this Privacy Policy from time to time. We will notify dental practice clients of material changes via email. The "Last Updated" date at the top of this page indicates when this policy was most recently revised.
